How do I Promote a Costpoint System to Production?
This article has everything you need to know about promoting a system from test to production.
Promoting to Production – Good to Know’s:
- We (you and PCI) will no longer have SQL access. Deltek will, however, so anything that needs to be updated via the back end would need to go through Deltek. (This will more than likely have a cost associated with it). For reference SQL access is access to the backend of the system.
- The system name for CP/T&E will change – the TEST suffix will no longer be required - so we will need to notify all employees. I have a draft notice that you can edit/delete/send it the way it is to your employees. This note just provides the effective date and the new system/domain name.
- For planning purposes, we would not recommend moving to production on a timesheet due date but a few days after. We have noticed that if a client decides to move to production on a timesheet due date, we end up with a handful of confused users as they did not read their email about the system name changing and now are locked out because they entered the incorrect system name (when using AD especially) and unable to complete a timesheet.
- CER Reports: When Deltek moves your CP system to the new environment, they do CP first and then CER. So, there could be a delay of being able to access CER. It is normally available within a few hours of the start of business if not at the start of business.
- Timing: The move to the new environment happens after normal business hours – normally within a window that begins after 9 or 10PM EST and ends by 2 or 3AM EST. The system will only be unavailable for a little bit, less than one hour. If needed, we can request a specific window for the move to occur based on you/your staff being located in various time zones.
- We handle submitting the service request to move to production, but support does request ~24 hours advanced notice. The SLOs from Deltek are listed at the end of this document for reference as well.
Prepping for the Move:
- Communicate, communicate, communicate!: We highly recommend giving the workforce ample notice of the move to production. This will ensure they log into the correct system once the move goes into effect. Sample communication is below.
- CER Reports in your My Content Folder: If you have created CER reports and they are in your My Content Folder in CER, you will need to copy the reports into your Public Folder (Team content > Company content > COMPANYNAME) as only Public CER folders can be copied into production.
- Single Sign On (SSO) Users: If you are using SSO we need to plan to pre-configure your SSO setup for the Production Environment; this will include submitting a service request with Deltek Cloud Ops.
- CP Integrations: If you have any CP integrations to other Deltek products, like Talent, Cobra, GovWinIQ, ODBC connection, we will need to submit an integration request to connect them to your production environment. Please let your PCI POC know of any active connections in your current environment.
- API Integration: If you have any API connections/integrations with CP and a 3rd party software, PCI will need to promote the API methods to production by submitting a service request with Deltek Cloud Ops and then once the migration is completed, repoint the API to the production environment.
Sample Communication to Workforce:
All,
We will be working with Deltek to migrate our accounting system from its current environment of Test to Production. Effective close of business on 08 May (Friday), we will be moving to the new domain of SYSTEMNAME. Therefore, when you arrive at work on Monday (11 May 202X) and log into to access Deltek Time & Expense or Costpoint, you will now need to enter SYSTEMNAME in the system field. Your Username and Password will remain the same. Please note, after COB on 08 May 202X, the system name SYSTEMNAMETEST will no longer work and you will receive an error if you attempt to use it in the system field.
We would also like to recommend going to the portal page on Monday to access your timesheet as opposed to any saved/bookmarked links you may have. Once you access T&E and/or Costpoint, you can then re-save/re-bookmark the URL for convenience. For reference, the portal page link is: https://www.costpointfoundations.com/COMPANYNAME/portal.html; to access your timesheet, you can select the “Enter your Timesheet or Expense Report” link. - Promote to Production Service Request's (SR’s) submitted prior to 9:00pm ET will be completed by 8:00am ET the next Business Day. (e.g. Request sent on Monday at 4:20pm ET will be completed by Tuesday 8:00am ET). Costpoint Business Intelligence (formerly known as Costpoint Enterprise Reporting), also referred to as Cognos, will be completed by 11:30am.
